Account Coordinator

Position Overview

The Account Coordinator role is designed to directly support the Operations Manager and Vice President of Sales. The primary functions are centered on the administrative functions and ensuring the mechanics of all accounts run smoothly. The day to day responsibilities of the position will be largely tactical in nature.


Job Description

  • Support the Vice President of Sales in general administrative duties, including but not limited to travel coordination, expenses, and client reports as needed
  • Submit Candidates
  • Reference checks
  • Assisting with consultant travel
  • Confirm/Schedule Interviews
  • Receive interview feedback (both client and candidate)
  • Oversee the background check process and gather all “day one” start information
  • Add new jobs to the Applicant Tracking System
  • Update job orders with any changes and close jobs as needed
  • Support salesperson with all sales, marketing and drops
  • Maintain ownership of designated House Consultants, Client Care Initiatives and Candidate Care as it relates to resources rolling permanent with our clients
  • Become a subject matter expert on Vendor Management Systems (VMS) and assist internal and external employees with submissions and any other issues that may arise
  • Create spreadsheets: clients/candidates on assignment/new business development/SOW’s/ submissions
  • Maintain monthly Expense Tracker

Other Tasks (as needed)

  • Communicate with Administrative team members on outstanding timesheets
  • Review tracker weekly
  • Responsible for working with the Administrative team to ensure the Consultant Care/loyalty initiatives are on task

Key Requirements

  • Detailed/Organized with a sense of Urgency
  • Ability to work in an extremely fast-paced environment
  • Microsoft Excel, Outlook, and Word skills are highly desired

CSI Professional, a division of The CSI Companies, is a leader in the placement of permanent and temporary accounting, office clerical, information technology, and legal professionals. Position Overview

Reporting directly to a Recruiting Supervisor, the National Recruiter is responsible for providing full life-cycle of recruiting in support of both local and national accounts for CSI Professional's lines of business. Our business hours are Monday – Friday, 7:30am – 5:30pm.

Onboarding Coordinator

Position Overview

As a vital part of our daily business your core responsibilities will include:

  • Processing new hire paperwork for external employees including running background checks, drug screens and I-9 Forms
  • Sending external employees agreements, offer letters, and contracts
  • Guiding new consultants through the hiring and onboarding process
  • Providing administrative support to external and internal employees
  • Answering and directing incoming phone calls
  • Assist Payroll department to ensure consultant timesheets are in on time and correct
  • Assist in the communication between Sales Managers and Recruiters by sitting on calls/meetings and being able to answer questions as needed

Skills/Proficiencies

  • Most of the responsibilities of this role are trainable, but an intermediate to high level of proficiency of Microsoft Excel, Outlook and Word is highly desired.
  • People successful in this role must be able to work independently with minimal direction and supervision – ability to be proactive, prioritize work and handle multiple assignments simultaneously.
  • Strong grammar, writing skills and comfortability speaking to consultants on phones
  • We don’t micromanage so this role requires a detail-oriented self-starter.
  • Past experience in a fast paced, efficiency focused environment is a plus.
  • Some college education preferred.

Payroll Analyst

The CSI Companies is a national staffing firm headquartered in Jacksonville, Florida. We are seeking to add a Payroll Analyst to join our team. This position will play a key role in ensuring the smooth processing of payroll and various related services of a high growth organization.


Responsibilities

  • Ensure payroll is processed with accuracy and speed
  • Serve as liaison to consultants to ensure payroll processing accurately reflects company’s pay policy
  • Audit employee pay records and reconciles totals by department, location, etc.
  • Process accurate and timely payroll adjustments
  • Assist with audits of internal records, workers compensation, tax filing and related documentation
  • Manage payroll-related responsibilities for garnishments, benefits, leave of absence, etc.
  • Assist with year-end reporting and processes (including processing of W-2s, etc.)
  • Research and resolve payroll a variety of internal and external inquiries concerning payroll status
  • Initiate communications with consultants to resolve payroll discrepancies and issues timely and effectively
  • Identify and implement process improvements enabling automation between CSI and client systems for payroll systems

Travel & Expense Coordinator

  • Perform all travel and expense responsibilities, including upkeep of auditing rules based on T&E policies
  • Maintain process and controls to ensure integrity processing of expense reports while promoting a customer service environment.
  • Serve as the main point of contact for all consultants participating in the travel and expense programs to resolve issues, ensuring results and deliver great customer experience
  • Foster and ensure compliance to the travel and expense reimbursement policies through training, communication and reinforcement
  • Ensure that all company credit card activity is properly billed to the end client.
  • Prepare clear and concise documentation to adequately support all final client invoices to ensure accurate and timely end of week client invoicing.
